The Sales Operations Coordinator will support new sales documentation, sales support processes, prepare and review all customer invoices for new sales transactions, and maintain purchase order records.  In addition to this, the person in this position will assist with reviewing inventory levels and ordering equipment as needed. The Administrator will oversee factory discounts and merchandising programs supporting sales representatives as internal subject matter expert.

 

Wages

Starting wage will depend on experience and education. $24.44 - $34.78

 

Responsibilities

Essential duties and responsibilities include the following. Other duties may be assigned.

• Maintains detailed records and files on all customer purchase orders and projects. 

• Handle administration of new Sales Order entries. 

• Ensure appropriate inventory levels for all new equipment and prepare reports for submission to sales management. 

• Order new equipment for inventory with the guidance of the sales and management team

• Oversee and manage the CVA (Customer Value Agreements) process from sales to enrollment.

• as Act as ‘Dealer Champion’ by overseeing & maintaining various systems, including but not limited to DBS, Unit 4, iMACS, and factory portals (CSQ, EOMP, GSVT, etc. This includes analysis, input, reporting and tracking.

• Coordinate equipment transportation by liaising with Cat Representatives, Cat dealers, and the Cat factory.

• Administer all Cat factory Merchandising programs and processes, while providing assistance to the sales team as required.

• Administer and maintain data for the Cat Marketing Sales and Execution Program (MSEP).

• Handle customer invoicing or new equipment purchase.

• Record debits and credits related to inventory.

• Manage the administration and reporting of all new equipment sales to Caterpillar, including warranty and ESC enrollment, as necessary.

• Administer and maintain scorecards for Sales Representatives.  

• Update sales reports (Engineered Products and Retail / Industrial backlog) and participate in production meetings.

• Assist in the review of internal service work orders for potential cost overruns.

• Assist Sales and Project Engineers to maintain project control and provide updates with equipment delivery dates.

• Analyze and report on sales backlog items that are not yet orders with the factory to proactively address potential job increases. Monitor changes in factory RTS (Ready to Ship) dates and assist with monthly revenue planning adjustments. Analyze sales project cost budgets and post cost accruals as needed. Collaborate with the accounting team to make accrual adjustments monthly or as required.

• Communicate and coordinate with customers, sales team, vendors, Project Engineers and Service Department on all shipment dates.

• Conduct inventory aging analysis, report review and make necessary adjustment.

• Perform other duties as assigned by management.

 

Qualifications

High school diploma or general education degree (GED) and three to five years prior related experience and/or training; or equivalent combination of education and experience. College coursework and previous accounting experience a plus.
